Implementing RAGflow – the process
The implementation of RAGflow is clearly structured and can be completed in 12–16 weeks. The goal is to lead companies quickly to a productive system that makes knowledge efficiently usable while taking all legal and organizational requirements into account.
1. Preparation and Planning
The first few weeks are about creating the foundation for a successful project. To this end, we work with you to put together a project team, define clear goals, and prioritize the most important use cases. In parallel, an inventory of existing data sources and an initial risk analysis are carried out. Already in this phase, we involve central stakeholders such as management, data protection officers, or the works council to ensure transparency and acceptance. Based on this preliminary work, we develop an initial architecture and security concept that guides the further course of the project.
Timeline: Weeks 1-2
2. Technical Setup
In this phase, the infrastructure is prepared and RAGflow is technically implemented. This includes the provision and configuration of the server environment (Linux or Windows Server, Docker, database backend like Elasticsearch), the setup of backup strategies, and the installation of RAGflow itself. Subsequently, basic configurations are performed – such as connecting a Large Language Model (e.g., OpenAI, Ollama), setting up users and roles, and initial functional tests. This creates a stable and secure environment that supports the subsequent pilot operation.
Timeline: Weeks 3-4
3. Data Integration
The next step is the integration of your company documents. First, the relevant files are collected, cleaned, and structured. They are then imported and indexed in RAGflow. We place great emphasis on quality: metadata is added, suitable chunking strategies are implemented, and appropriate embedding models are selected. The quality of the search results is then checked, parameters are fine-tuned, and performance is optimized. The goal is precise, traceable answers to questions – always with source citations.
Timeline: Weeks 5-6
4. Pilot Operation
Now testing under real conditions begins: a selected group of users receives access to RAGflow, is trained, and uses the system for specific use cases. We capture feedback and usage patterns via feedback mechanisms and monitoring. These flow directly into optimizations of the user interface, search parameters, or the database. At the end of the pilot phase, a joint evaluation is conducted to determine whether the set goals were achieved and which adjustments are still required for the broad rollout.
Timeline: Weeks 7-10
5. Rollout and Stabilization
Following successful piloting, the step-by-step rollout to all departments takes place. During this process, training is conducted, support structures are established, and the system is continuously monitored. In the final weeks of the project, the transition to regular operations occurs: final optimizations, creation of operating documentation, and a lessons-learned workshop ensure sustainable use. RAGflow is thus firmly integrated into the organization and forms the basis for long-term, intelligent knowledge utilization.
